1. Treelodge regulations

Het domain "Treelodge", located at Hoevendijk 27, 2470 Retie, is managed by the BVBA Treelodge (ltd.).

These regulations (booking conditions and rules of conduct) must be respected by all guests and visitors to the domain. By paying the invoice, the tenant declares to know and accept the booking conditions and rules of conduct.

2. Booking conditions

2.1. Payment and booking

When booking, you pay a deposit (50% of the full amount) immediately. From then on, your booking is final. The remaining amount (including the deposit of 200 euros) must be transferred in the month before arrival date.

Prices include:

  • stay in the tree house;
  • price for the number of persons for which the tree house is provided;
  • firewood;
  • water and electricity costs;
  • tourist tax;
  • final cleaning;
  • administrative costs;
  • VAT (you can find this on the invoice).

Prices exclude:

  • sauna;
  • hot tub;
  • linen.

2.2 Tree house capacity

The number of people per tree house (as stated on the website) corresponds to the maximum permitted occupancy. No more people may sleep in the tree house than the number for which the tree house is provided.

The person who books and pays for the reservation is responsible for observing the rules of life and paying the bills.

2.3 Visitors

No visitors are allowed on the site other than those who have booked. Exceptions may be allowed but must be requested in writing by the tenant well in advance. A maximum of 2 extra people may then be invited as visitors. For the sake of the other guests' privacy, safety and insurance, this number may not be exceeded. This must then be approved in writing by Treelodge.

In case visitors are allowed, we must receive a written overview of these visitors in advance (first name - name - age - reason for visit).

2.4 Animals

Bringing pets/animals is not allowed on the Treelodge domain.

2.5 Changes or cancellation

All cancellations must be made in writing. A registered letter and e-mail are valid. The following provisions apply to cancellations:

For any cancellation (in whole or in part) by yourself, prior to your stay, the following provisions will apply:

  • Cancellation up to 3 months before the date of arrival: free of charge;
  • Cancellation between 3 months and 1 month before the date of arrival: €200 will be retained from the reservation;
  • Cancellation within 30 days before the date of arrival: the full deposit of the reservation will be retained.

For any change by yourself, prior to your stay, the following provisions will apply:

  • Changes in terms of date to an earlier available date: free of charge;
  • Date changes up to 3 months before the date of arrival: free of charge;
  • Date changes between 3 months and 1 month before the date of arrival: a handling fee of 75 euros;
  • Date changes within 30 days before the date of arrival: no longer possible. (see above: cancellation within 30 days before the date of arrival: the full deposit of the reservation will be retained).

For any change/cancellation by the Treelodge company itself, prior to your stay, the following provisions will apply:

  • Treelodge reserves the right to cancel your stay for safety reasons. This may include a weather warning warning of weather conditions independent of our will, such as severe weather, storms or thunderstorms.
  • If this applies, we will ask you to postpone your stay to a later date falling within the following 12 months, or we may refund the amount paid by you in full.

For any change/cancellation by Treelodge itself, at the time of your stay, the following provisions will apply:

  • Treelodge reserves the right to cancel your stay for safety reasons. This may be a weather warning that warns of weather conditions independent of our will, such as severe weather, storms or thunderstorms.
  • In this case, we will suggest an alternative stay, at no extra cost, subject to availability. You will receive a refund of the difference in price.

For any change/cancellation by yourself, at the time of your stay, the following provisions will apply:

  • If, at the time of your arrival, you yourself refuse/cancel to enter your accommodation for whatever reasons, you will not be able to claim any refund.

2.6 Safety

Guests and visitors:

All constructions are built according to standard EN1176 (= public use regulations).

Nevertheless, the tree houses and the terrain involve a certain risk because of constructions at height, stairs, making campfires, use of BBQ... You are responsible for your own safety and certainly the safety of your child(ren).

Entering the treehouses is entirely at your own risk in case of the following situations: pregnancy, people with disabilities, diabetes, fear of heights, somnambulism, epilepsy, heart problems, uncorrected loss of eyesight for safety reasons and any other medical condition where the person in question may lose control of himself.

Valuable objects:

It is best not to leave valuables in your accommodation. Treelodge cannot be held liable for thefts committed.

Alcohol, smoking and drugs:

It is strictly forbidden to be "under the influence of alcohol and drugs" in the tree houses, on the terraces, in the entrances (the stairs, ladders, bridges), at the fire pits and at the BBQ.

There is a general smoking ban on the site.

2.7 Liability

We accept no liability for:

  • Theft, loss or damage of any kind during or as a result of a stay at the domain and/or in the treehouse;
  • Failure to use the tree houses correctly and failure to leave the tree houses correctly, Treelodge may charge additional (cleaning/repair) costs;
  • Accidents;
  • Disabling or rendering inoperative technical equipment and failure or closure of facilities on the property;
  • The Hirer and those accompanying him or her are jointly and severally liable for all loss and/or damage incurred by Treelodge and/or any third party as a direct or indirect result of their stay, irrespective of whether this was caused by acts or omissions on their part or on the part of third parties present on the grounds as a result of their actions, as well as for all damage caused by any items in their possession.

By accepting these general terms and conditions, you declare to be aware that your stay will take place in the great outdoors, with all the less pleasant surprises that may ensue: changeable weather conditions, presence of insects, birds and mammals in the vicinity of the tree houses, terraces, campfire places, parking and possibly even in the tree house.

2.8 Deposit

If no damage, exceptional cleaning costs or loss can be established, the deposit will be refunded within 14 days. However, if damage or loss can be established, Treelodge reserves the right to withhold part or all of the deposit.

2.9 Disputes

All complaints relating to your stay must be sent by registered letter with acknowledgement of receipt within 30 days of your stay.

All disputes relating to compliance with these regulations shall be settled by the competent courts of the judicial district of Turnhout in accordance with Belgian law.

3. Rules of conduct

3.1 Taking care of the terrain

  • Take care of buildings, equipment, furniture and plants;
  • Use water and energy sparingly;
  • Never leave rubbish behind, never throw rubbish on the ground;
  • Remove own (game) signage;
  • Pets are not allowed;
  • A sound system is meant for own group, adjust the volume. Respect silence between 10pm and 8am.

3.2 Limited accessibility

  • Cars must be parked on the parking lot;
  • You are only allowed to drive to the tree house for loading and unloading.

3.3 Final cleaning

according to the guidelines below.

Tree houses should be left as follows:

  • Sort waste and take it to the sorting point;
  • Put everything back as you received the treehouse:
  • Furniture back in the right place
  • Kitchenware back in its proper place
  • Unloading the dishwasher
  • Beds left tidy
  • Sweep the entire tree house
  • Collect linen in the shower

If the tree house is left behind in such a way that exceptional cleaning is required, additional additional costs will also be charged for sorting waste not properly sorted, clean-up costs, laundry costs,....

3.4 Fire

  • Fires (campfire, cooking fires) can only be made when no code orange, red is applicable.
  • Fires can only be made at the places provided (campfire circle, fire bowl)
  • If you make fire in the designated areas, you must observe the following rules:
  • Never unmanned
  • Put out the fire completely if you leave the fire pit
  • It is strictly forbidden to make an open fire in the forest

3.5 Checking in and out

  • Check-in can take place from 3pm.
  • Check out must be done before 11 noon. (at Sunday before 14 noon)

In case of late departure from the tree house, a minimum of €100 will be charged on the invoice.
If the key with hanger is not returned, €30 will be charged per key on the invoice.
