1. Treelodge regulations

Het domain "Treelodge", located at Hoevendijk 27, 2470 Retie, is managed by the BVBA Treelodge (ltd.).

These regulations (booking conditions and rules of conduct) must be respected by all guests and visitors to the domain. By paying the invoice, the tenant declares to know and accept the booking conditions and rules of conduct.

2. Booking conditions

2.1. Payment and booking

After making a booking request you will receive an invoice by email. The deposit (50% of the total amount) must be paid within 30 days of receiving the invoice. Only after payment is the booking final. If the amount is not paid 30 days after receipt of the invoice, the booking request expires.

The remaining amount must be transferred at the latest 30 days before your arrival date.

Prices include:

  • stay in the tree house;
  • price for the number of persons for which the tree house is provided;
  • firewood;
  • water and electricity costs;
  • tourist tax;
  • final cleaning;
  • administrative costs;
  • VAT (you can find this on the invoice).

Prices exclude:

  • floating tent;
  • sauna;
  • hot tub;
  • linen.

2.2 Tree house capacity

The number of persons per tree house (as mentioned on the website), plus 2 additional persons as a visitor by booking a floating tent, corresponds to the maximum allowed occupancy, taking into account the available facilities. For safety and insurance reasons, this number may not be exceeded.
The person who books and pays for the booking is responsible for compliance with the terms of use and payment of the invoices.

2.3 Visitors

No visitors are allowed on the site, except for those who have booked (tree house and possibly floating tent). Exceptions may be permitted but must be requested by the tenant in writing well in advance. This must then be approved in writing by Treelodge.

If visitors are allowed, we must receive a written overview of these visitors in advance (first name - surname - age - reason for visit).

2.4 Animals

Bringing pets/animals is not allowed on the Treelodge domain.

2.5 Changes or cancellation

All cancellations must be made in writing. A registered letter and e-mail are valid. The following provisions apply to cancellations:

For any cancellation (in whole or in part) by yourself, prior to your stay, the following provisions will apply:

  • Cancellation up to 6 months before the date of arrival: free of charge;
  • Cancellation between 6 months and 3 months before the date of arrival: 40% of the reservation will be retained;
  • Cancellation between 3 months and 2 months before the date of arrival: 50% of the reservation will be retained;
  • Cancellation between 2 months and 1 month before the date of arrival: 60% of the reservation will be retained;
  • Cancellation within 30 days before the date of arrival: 100% of the reservation will be retained.

For any change by yourself, prior to your stay, the following provisions will apply:

Up to and including 7 days before your arrival, you can change your reservation. For these changes, we charge an additional administration fee, i.e. €15 plus the possible extra costs of a more expensive reservation.

For any change/cancellation by the Treelodge company itself, prior to your stay, the following provisions will apply:

  • Treelodge reserves the right to cancel your stay for security reasons. This may include a weather warning that warns of weather conditions beyond our control, such as heavy weather, storms or thunderstorms.
  • If applicable, we will ask you to postpone your stay until a later date, which will be within the next 12 months, or we may reimburse you in full for the amount paid by you.

For any change/cancellation by Treelodge itself, at the time of your stay, the following provisions will apply:

  • Treelodge reserves the right to cancel your stay for security reasons. This may include a weather warning that warns of weather conditions beyond our control, such as heavy weather, storms or thunderstorms.
  • In this case, we will propose you an alternative stay, at no extra cost, subject to availability. You will receive a refund of the difference in price.

For any change/cancellation by yourself, at the time of your stay, the following provisions will apply:

  • If, at the time of arrival, you refuse/do not enter your accommodation for any reason whatsoever, you will not be able to claim back any compensation.

2.6 Safety

Guests and visitors:

All building constructions are built in accordance with standard EN1176 (= regulations for public use).

However, the tree houses and the grounds are at a certain risk because of constructions at height, stairs, making a campfire, use of BBQ and so on. You are responsible for your own safety and certainly for the safety of your child(ren).

Entering the tree houses is entirely at your own risk in case of the following situations: pregnancy, people with a disability, diabetes, vertigo, somnambulism, epilepsy, heart problems, uncorrected loss of vision for safety reasons and any other medical condition in which the person in question can lose control of themselves.

Valuable objects:

It is best not to leave valuables behind in your accommodation. Treelodge cannot be held responsible for thefts that are committed.

Alcohol, smoking and drugs:

It is strictly forbidden to be “under the influence of alcohol and drugs” in the tree houses, on the terraces, in the entrances (stairs, ladders, bridges), in the floating tents, at the fire places and at the BBQ.

Smoking in the tree houses is strictly forbidden.

You can smoke on the terrace but it is strictly forbidden to leave cigarette butts in nature. An ashtray for your cigarette butts will be present in every tree house. It is forbidden to smoke when a code red or orange has been issued by the fire brigade.

2.7 Liability

We accept no liability for:

  • Theft, loss or damage, of any kind, during or as a result of a stay on the domain and/or in the tree house;
  • Treelodge may charge additional (cleaning/repair) costs if the tree houses are not used correctly and if they are not left behind correctly;
  • Accidents;
  • The failure or disabling of technical equipment and the failure or closure of facilities on the domain;
  • The tenant and those accompanying them are severally liable for all loss and/or damage that will incur for Treelodge and/or any third party as a direct or indirect result of their stay, regardless of whether this was caused by acts or omissions by themselves or by third parties who are on the property as a result of their actions, as well as for all damage that is caused by any property in their possession.

By accepting these general terms and conditions, you declare that you are aware that your stay takes place in the open air, with all the less pleasant surprises that may result from this: changeable weather conditions, presence of insects, birds and mammals in the vicinity of the tree houses, terraces, campfires, parking and possibly even in the tree house.

2.8 Deposit

If no damage, exceptional cleaning costs or loss can be established, the deposit will be refunded within 14 days. However, if damage or loss can be established, Treelodge reserves the right to withhold part of or all of the deposit.

2.9 Disputes

All complaints regarding your stay must be sent by registered letter with acknowledgement of receipt within 30 days after your stay.

All disputes concerning compliance with these regulations will be settled by the competent courts of the judicial district of Turnhout and in accordance with Belgian law.

3. Rules of conduct

3.1 Taking care of the terrain

  • Take care of buildings, materials, furniture and plants;
  • Use water and energy sparingly;
  • Never leave waste behind, never throw waste on the ground;
  • Remove your own (game) signposting;
  • Pets are not allowed;
  • A sound system is intended for your own group, adjust the volume. Respect the silence between 10 p.m. and 8 a.m.

3.2 Limited accessibility

  • Cars must be parked on the parking lot;
  • You are only allowed to drive to the tree house for loading and unloading.

3.3 Final cleaning

We ask you to leave the tree houses in the same condition as you received them and according to the guidelines below.

The tree houses should be left as follows:

  • Sort waste and bring it to the sorting point;
  • Restore everything to how you received the tree house;
    • Put furniture back in the right place;
    • Put kitchen utensils in the right place;
    • Unload the dishwasher;
    • Leave beds tidy;
  • Sweep the tree house entirely;
  • Collect linen in the shower.

If the tree house is left behind in such a way that exceptional cleaning is required, there will also be an additional charge for the sorting of incorrectly sorted waste, cleaning costs, laundry costs...

3.4 Fire

  • Making fire(campfire, cooker) is only possible when there is no code red or orange applicable;
  • You can only make a fire in the designated places (campfire circle, fire bowl);
  • If you make a fire in the designated places, you have to follow to the following rules:
    • never unmanned;
    • extinguish the fire completely when you leave the fireplace;
  • It is strictly forbidden to make an open fire in the forest.

3.5 Checking in and out

  • Check-in can take place from 3pm.
  • Check out must be done before 12 noon. (at Sunday before 14 noon)

In case of late departure from the tree house, a minimum of €100 will be charged on the invoice.
If the key with hanger is not returned, €30 will be charged per key on the invoice.
